3 reasons your finished jobs sit unpaid for 60, 90 and 100 days

The job is done. Your crew and your suppliers have all been paid. The invoice left QuickBooks weeks ago, and the only one still waiting for money is you.

01

Chasing is nobody's actual job

Your office manager is supposed to chase the open invoices. She also runs payroll, answers the phones and orders materials. Collections gets Tuesday and Thursday, until something comes up on Tuesday and Thursday. So the big balances get a phone call, and everything else sits.

02

Every payer has a reason to wait

The adjuster needs one more document. The homeowner is holding the insurance check. The general contractor says the owner hasn't paid them yet. Each of them has more files than they can handle, and they deal with the ones that keep showing up.

03

QuickBooks tells you what you're owed, not who's chasing it

Your aging report is accurate to the cent. It can't tell you when a customer was last contacted, what was said, or whether anyone called at all. An invoice at 70 days is often one nobody has touched since it went out.

You've probably tried to fix it by:

  • Turning on QuickBooks reminders. A few emails around the due date, with the same wording for every customer. No text, no voicemail, and nothing different for an adjuster, a homeowner or a general contractor.
  • Giving it to the office manager and a spreadsheet. The spreadsheet was accurate for two weeks. Then the busy season hit, the office got slammed, and nobody opened it again.
  • Falling back on lien notices and collection agencies. Both start after the invoice has gone bad, and both cost you money you'd already earned. They can cost you the customer or the next job too.

The problem was never your customers or your QuickBooks. It's that nobody's job is to chase every invoice, from the day it goes out until the day it's paid.

Before: the same past-due notice to everyone, with no name, no job and no way to pay. After: an email written for Dana about her Alder Lane job, with a Pay invoice button. Paid 2 days later, synced to QuickBooks.

How AR Workflow chases your invoices until they're paid

AR Workflow runs on one idea every contractor already knows: the squeaky wheel gets paid first. Every payer on every invoice hears from you every few days, with the right paperwork attached, until the invoice is paid.

1

You connect QuickBooks Online and set your rules once

Your customers, open invoices and balances come across, and nothing in your books changes. You see every open invoice in one list: how old it is, what's been done about it and which accounts need attention first. Then, with an onboarding specialist, you decide who gets chased, in what tone, how often and for how long.

  • Your first chase is running 15 minutes into setup.
  • You preview every chase before it starts, beginning with your 10 oldest invoices.
AR Workflow's priority queue: every open invoice ranked by who needs chasing first. Two invoices need a person; the AI is handling five.
2

Our AI chases each payer by email, text and voicemail

Our AI writes every message from the facts of that invoice and that job. It attaches the invoice, a statement and the documents the payer asks for, and adds a link to pay by card or bank transfer. When two people have to act on one invoice, each is chased in their own words: an adjuster and a homeowner, or a general contractor's project manager and payables desk. A different message goes out every few days until the invoice is paid or you stop it.

  • It doesn't stop for a busy week, a vacation or someone leaving.
  • It leaves voicemails and never phones your customers. When a live call is the right move, your team gets a reminder.

Replies come to one place, and the chase stops when they pay

Replies by email and text land in one inbox with an answer already drafted. Someone on your team reads it, edits it and sends it. Disputes, payment promises and anything unclear stay with your people. When the payer pays, the invoice is marked paid, QuickBooks is updated and every message on it stops.

  • Your office manager works a short list of accounts that need a person, not the whole aging report.
  • A customer who has paid never gets another reminder.
The reply inbox: the adjuster asks for the moisture log and before photos, and an AI-drafted answer with both attached waits for approval.

Within 3 weeks, our customers cut their overdue invoices by 65% on average.

Contractors who stopped chasing and started getting paid

The five companies in these stories were waiting on insurance payers and chasing invoices by hand before our software took over the chasing.

“From over 100 days to get paid, to under 28.”

Flood Rescue is a 26-person water and fire restoration company with a two-person AR team. Is AR Workflow for you?

Built for you if:

  • You're a restoration, roofing or trade contractor, and your invoices are in QuickBooks Online when they go out.
  • You have around 50 or more open invoices, or $200,000 or more outstanding.
  • Nobody's full-time job is collections. Your office manager chases when there's time, or you do.
  • Your payers each stall in their own way: insurance adjusters, homeowners, mortgage companies and general contractors.
  • You've tried QuickBooks reminders, a spreadsheet, lien notices or an agency, and invoices still sit past 60 days.

Not the right fit if:

  • Your invoices start in a job app and only reach QuickBooks once they're paid.
  • You have a dozen open invoices, and they get paid without anyone chasing.
  • Nearly all your work is paid on a fixed schedule nobody can speed up, such as a direct-pay insurance program.
  • You want a collection agency, or software that negotiates with your customers. AR Workflow chases in your name, and your people handle the conversations.

Frequently asked questions

What exactly is AR Workflow?

Software that connects to your QuickBooks Online and chases your unpaid invoices by email, text and voicemail until they're paid. You set who gets chased, the tone and the schedule. Our AI writes and sends the messages, and your team handles the replies that need a person. It isn't a collection agency, and it doesn't replace QuickBooks.

What does it cost, and is there a contract or a free trial?

Plans start at $295 a month, based on how many open invoices you have, and run month to month. We never take a share of what you collect. There's no free trial. You see one of your own invoices chased on the demo, then start with your 10 oldest invoices.

What will the AI say to my customers, and can I see it first?

You preview every chase before it starts. You choose the invoices, the contacts, the tone and how often, and you can hold or stop a chase at any time. The chases you set up send on their own, inside those rules. Any one-off reply to a customer is read and sent by someone on your team.

Will it annoy my customers, cost me the next job or sound like a collection agency?

Every message goes out in your company's name, in the tone you set. A homeowner, or a general contractor you want the next job from, can get a gentler message than an account that's 90 days late. A polite, regular message from day one is easier on a relationship than silence followed by a tense call at day 60. Any customer you'd rather handle personally, you leave out.

We already use QuickBooks reminders. How is this different?

QuickBooks sends a few emails around the due date, with the same wording for everyone. AR Workflow chases by email, text and voicemail, writes for the person who owes you, catches the reply and keeps going until the invoice is paid. QuickBooks tracks your invoices. AR Workflow chases them.

Insurance pays when it pays, and the GC pays when the owner pays. Will chasing change anything?

Chasing doesn't change what an adjuster decides or when an owner releases a draw. It makes sure the adjuster has every document, the homeowner knows what they owe, and the GC's payables desk has your paperwork before the cutoff. Payers deal with the files that keep showing up. If nearly all your work is paid on a fixed program schedule, there's little to chase, and we'll tell you so on the demo.

My invoices start in a job app. Will it work?

AR Workflow works from the open invoices in QuickBooks Online. If your invoices reach QuickBooks when they're issued, you're fine. If they only arrive once they're paid, or only some of the time, we won't have what we need to chase them. We check this with you before the demo.

How long does setup take, and who does the work?

QuickBooks Online is connected and your first chase is running in 15 minutes. Over the next week or two, an onboarding specialist sets up the rest with you. It takes a few hours of your office's time, mostly adding the payer contacts QuickBooks doesn't hold, such as an adjuster or a GC's payables contact.

Your customer stories are restoration companies. Will it work in my trade?

AR Workflow chases any open invoice in QuickBooks Online, and our AI writes for the type of person who owes you: a homeowner, an adjuster, a property manager or a payables department. Our longest-standing customers are restoration contractors, which is why most of the stories here are theirs. On the demo you see it chase one of your own invoices, to your own payer, before you decide.

What happens on the demo?

You bring one overdue invoice. We show you the email, text and voicemail our AI would send to chase it, the schedule, the payment link and what happens when your customer replies. Then you get a straight read on whether it's a fit for your numbers.

You did the work. Let AI chase the money.

If you're done waiting 60, 90 and 100 days for work you've already finished, let AR Workflow chase every unpaid invoice by email, text and voicemail until it's paid. Our customers get paid 21 days faster on average. Your first chase is running in 15 minutes, and you see it on your own invoice before you pay anything.
